Does receiving a quote hold equipment or guarantee availability?

No. A quote provides pricing only and does not reserve equipment or guarantee availability for any date. Equipment is only held once a booking is confirmed.

I received a quote—what should I do next?

What payment methods do you accept?
To proceed with booking, click the Request Now button in your emailed quote, call our office, or email your sales representative. If the vehicle(s) are still available, we will book them for you. If we are sold out for your requested date, we will let you know.
Do you accept purchase orders?
When is my booking confirmed?

Your booking is confirmed only after you receive a charter confirmation email. This email includes your booking details, terms and conditions, a booking PDF, and a payment link.
If you do not receive confirmation or booking paperwork within 24 hours of requesting a booking, please contact us.

Is a deposit required?

When is my final balance due?
Yes. A signed agreement is required to confirm your booking. The agreement is due upon receipt and can be signed electronically using the Review & Sign button in your booking email.
If we do not receive the signed agreement, the booking may be canceled.
Yes. Deposits are due within 7 days of booking the trip. If the deposit is not received by the due date, the booking may be canceled.
Yes, purchase orders are accepted in place of prepayment. The purchase order must be received by the same date the deposit is due.
Once an approved purchase order is received, we will issue an invoice after the trip concludes. Payment will be due within 10 days of the invoice date.
The purchase order must include:
Booking ID number
Billing address
Contact name and phone number
Company/school/booking party name
Correct booking price
Purchase order number
Please note:
Purchase orders are not accepted for quotes.
You must first book the quote, then submit the purchase order using the booking paperwork we provide.
Purchase orders may be sent electronically or by mail to King Gray Coach Lines.
Final payment is due at least 30 days prior to departure.
If the booking is made within 30 days of departure, full payment is due at the time of booking.
We accept:
Credit cards (by phone or online via the Pay Now button)
Cash (in person during business hours)
Checks (mailed to our office)
Please note:
Checks are not accepted if the departure date is within 14 days of receipt.
For trips departing within 14 days, we accept credit cards, money orders or bank checks only.
